Notification of "Restricted Approver" Feature Added to Transmission Approval Function

Thank you very much for always using Kozutumi.

We have received requests from customers considering Kozutumi, such as: "When using the transmission approval function, we want to restrict approvers to specific managers or decision-makers," and "We want to prevent accidental selection of unrelated users as approvers."

Therefore, we are pleased to announce that we have added a feature to the "Transmission Approval Function"—which previously allowed all users in the organization to be selected as approvers—to restrict the users who can become approvers to specific members.

This feature makes it possible to build a more rigorous and reliable internal approval workflow.

This feature is exclusive to the [Starter Plan or higher business plans].

How to Configure the Feature

  1. With an account using the Starter Plan or higher business plan, navigate to "Organization Management""Organization Information""Options""Transmission Approval Settings" and turn ON the sub-option "Restrict Approvers".



  2.  After that, please navigate to the "User Management" screen, open the editing dialog for the specific users you wish to designate as approvers, and turn ON the "Designate as Approver" setting. 

    Sender's Experience

    When this setting is enabled, the transmission confirmation screen changes for general senders. When opening "Request Transmission Approval" and clicking "Select Approver", only the specific approvers pre-restricted by the administrator will be filtered and displayed as candidates in the dropdown list.




    Approver's Experience

    Users who are requested for approval will receive an approval alert marked with a distinctive green icon within their dashboard (an automated notification email will also be delivered simultaneously).

    Approvers should review the transmitted content and click the "Approve" button if there are no issues. (If they wish to stop the transmission, for example, because the file is incorrect upon review, they can click the "Reject" button and enter the reason for disapproval.)

    In addition, authorized approvers can keep track of the complete tracking status, including the file download status by the recipient after approval.

    By leveraging this enhancement, organizations can completely eliminate the risk of accidentally sending approval requests to unrelated users, ensuring a smooth and secure internal review system.
