Notice of Specification Change for Recipient Display

We have updated the system so that, when specifying recipients during file transmission, the name registered in the address book will now be displayed as the priority.

We would like to inform you that we have improved the specification for how recipient names are displayed when sending files.

Background of the Improvement

Until now, the “display name” shown for recipients was based on the name used by the recipient within Kozutumi. In most cases, this was registered as “Company Name + Individual Name,” which caused no issues. However, the following situations sometimes led to inconvenience:

  • When sending to a group address

  • When a recipient entered a personal name during guest download

In such cases, even though the email was intended for a group address, the personal name entered by the recipient could be reflected in the address book, creating inconsistencies in how the recipient was displayed.

Details of the Change

To address this issue, we have modified the specification so that if an “Address Book Registered Name” is set, it will be prioritized as the display name.

This means that even if a recipient unintentionally enters a personal name, the sender will still be able to identify the recipient correctly based on the registered name, allowing for a more intuitive user experience.

When an Address Book Registered Name is available:

  • Before: Display Name (Address Book Registered Name)

  • After: Address Book Registered Name (Display Name)

How to Use

If you set a “Registered Name” for each recipient in your address book, that name will be prioritized and displayed when sending files.

Even if a recipient enters an unintended name, the sender can still identify the recipient correctly by relying on the registered name.

If you notice any inconsistencies in recipient display, please review the registered name in your address book.
